How to judge a desk chair you can't sit in first
Dimensions, mechanisms, foam density and spare parts: what you can verify about a task chair from a spec sheet alone.
Showrooms carrying task chairs have mostly disappeared, so most chairs are now bought from a photograph and a spec table. That removes the test people trust, which is sitting in it. What remains is still workable, because fit and durability come down to numbers and materials a seller either publishes or does not.
Measure yourself, then read the spec table
Fit is dimensional, and the dimensions that matter describe your body, not your height.
Seat depth against thigh length comes first. Sitting back against the backrest, there should be a gap of two to three fingers between the front edge of the seat and the back of your knee. Too deep and the edge presses into your legs, so you slide forward and lose the backrest. Too shallow and your thighs are unsupported. A sliding seat pan fits far more bodies than a fixed one.
Seat height range against your lower leg is second. Measure floor to the crease at the back of your knee, wearing the shoes you work in. The published range must contain that figure with room either side. Most chairs are built around a middle band of adult heights, so people at either end should check the numbers rather than assume.
Lumbar support has to adjust in height, not only depth. The apex needs to land in the inward curve of your lower back, which sits at a different height on different torsos. A backrest with a fixed bulge is a guess about your spine.
Armrests should adjust in height over a stated range, so your forearms rest with shoulders relaxed. Width and pivot help, but height is what changes how your shoulders sit all day.
“Ergonomic” is not a regulated word
No authority certifies it, which is why it appears on chairs with fixed seats and non-adjustable backs.
Published standards are what to look for instead. ANSI/BIFMA X5.1 is the US general-purpose office chair test standard, covering cycle testing: repeated seat impacts, backrest load cycles, stability and castor durability. It says nothing about whether the chair suits you, only that it survived a defined mechanical beating. ANSI/BIFMA G1 is the separate guideline for matching chair dimensions to bodies, and EN 1335 is the European equivalent. A chair naming no standard is not automatically bad, but nobody has told you what it was tested for.
What the mechanism actually does
The mechanism underneath decides how the chair moves, and it is where cost is removed. A fixed mechanism does not recline, locking seat and back into one posture.
A simple tilt rocks seat and back together around one pivot, so leaning back lifts your feet while the front edge of the seat rises into your thighs. A knee tilt, pivoting further forward than a center tilt, keeps that edge lower.
A synchro-tilt reclines back and seat at different rates, commonly around two degrees of back to one of seat. The seat stays closer to level, so your feet stay planted and the edge does not push up. It should have tension adjustment and a lock at several positions, and the stated weight range matters, since a mechanism tuned for average weight can be unusable at either extreme.
The parts that wear out first
Cheap foam collapses fast enough to notice within a couple of years of daily use. Foam has two independent properties: density, in kg/m³ or lb/ft³, and firmness, given as ILD or IFD. Low-density foam can feel firm on day one and still lose most of its height under repeated compression, because density governs fatigue resistance. Look for a stated density and molded high-resilience foam rather than cut slab. Most sellers publish neither figure, which is itself information. Mesh substitutes an elastomeric weave that slowly loses tension.
Castors are matched to floors. Hard-floor castors use a softer polyurethane tread that grips and protects wood, tile and laminate. Carpet castors are harder nylon, and rolling those on wood scratches it, while soft treads drag on carpet. Both are cheap to replace, and stems come in a few common sizes. A chair that sinks needs a cylinder, not a replacement.
The question that tells you the most
Ask whether spare parts are sold, and read the warranty. A manufacturer listing castors, cylinders, armrest pads and mechanisms as orderable items has designed the chair to be serviced and expects it to outlive its consumables. A long warranty naming components separately reflects a company that ran the tests and priced the risk of returns. A short warranty with no parts catalog says the opposite: replace, do not repair.
What to look for
- A published seat height range that contains your floor-to-knee measurement
- Seat depth adjustment with a stated range, not one fixed depth
- Height-adjustable lumbar support, visible as a separate moving piece
- A named mechanism type, with tension adjustment and a stated weight range
- A stated foam density, or molded high-resilience foam
- A named standard such as ANSI/BIFMA X5.1, and castors matched to your floor
Buying this way is still a partial guess, since comfort has a component no spec sheet captures. What the numbers remove are the predictable failures: the seat too deep for your legs, the tilt that lifts your feet, the foam that flattens. Where a listing will not give the figures, that silence is the most useful thing on the page.
